TITLE OF POST: ADMINISTRATIVE AND OFFICE MANAGER
REPORTING TO: Executive Director
JOB TYPE: Permanent
HOURS: 40 hours per 
LOCATION: West Kensington

The Bhavan
The Bharatiya Vidya Bhavan is the leading centre of classical Indian arts in the UK. The Bhavan
preserves and promotes the teaching and understanding of Indian arts and culture in the UK
and runs cultural events and courses on the weekend for a variety of disciplines. The Bhavan is
also a National Portfolio Organisation of the Arts Council of Great Britain. The institute has a
strong presence in the local community and enjoys the goodwill of the Indian High Commission
and the local Borough Council.

The Role
The Bhavan is looking for an experienced Admin & Office Manager to manage The Bhavan’s
administration and day-to-day operations, as well as admin support to the Executive Committee.

Main Duties
Admin & Office Management
* Manage HR processes including updating contracts, onboarding and leave. Ensuring
compliance with DBS, Single Central Record, Right to Work, GDPR etc.
* Manage Health & Safety for the organisation, including staff training and all scheduled
building checks e.g. fire alarms, event safety, legionnaire’s disease checks.
* Manage Safeguarding including BOPA and any other processes required.
* Develop and manage a programme of repairs and upgrades to the building and
infrastructure.
* Support delivery of the Diversity strategy.
* Support delivery of the Environmental strategy.
* Manage student feedback processes including online questionnaires, focus groups and
student councils.
* Manage relevant technical and IT systems.
* Work closely with Finance and Fundraising teams to ensure all departmental plans are
integrated smoothly into an overarching plan with clear milestones and deliverables.
* Liaise with academic staff to ensure smooth day-to-day running of classes and events.
* Other duties as required.

Support to the Committees
* Provide administration support to committees, including sending invites, preparing
agendas and taking/distributing minutes.
* Draft and update policy documents for consideration by the Senior Management Team
and Executive Committee where required.

Person Specification
Essential
* Previous office management experience.
*  Excellent communication and interpersonal skills; clear, professional and approachable.
* A strong team player, helpful attitude, willing to pitch in.
* Ability to take initiative and undertake duties without close instruction or supervision.
* Excellent attention to detail and organisational skills.
*  Project management skills.
* Ability to prioritise workload and adapt flexibly without much guidance.

*  Previous HR experience.

FUNDRAISING MANAGER

REPORTING TO: Executive Director

HOURS: 20-40 hours upon arrangement
LOCATION: West Kensington, London

The Role
The Bhavan is looking for an experienced Fund Manager to manage The Bhavan’s fundraising
activities and grant applications.

Main Duties
Funding Grants & Arts Council England
* Manage all applications to funding bodies, with an emphasis on Arts Council England,
including coordinating with other staff and volunteers to prepare submissions. This
includes presenting the proposed submission to the Executive Committee for approval.
* Liaise and develop The Bhavan’s relationship with funding organisations, including
official visits.
* Manage external bid-writing teams.
* Identify and secure new funding revenues and write reports to present to the Executive
Director.
* Develop medium-term fundraising strategy for Executive Committee approval. Lead
strategy implementation to meet milestones and objectives.
* Work closely with Finance & Administration teams to ensure funding plan provides
sufficient resources for The Bhavan’s objectives.

Person Specification
Essential
* Experience in grant and funding applications, ideally with Arts Council England.
* Excellent communication and interpersonal skills; clear, professional and approachable.
